Handoff Template
A handoff template for machine delivery and installation in South Africa, so the supplier, site team, and operator all work from the same list.
Delivery and install sign-off record
The Handoff Template keeps delivery, installation, and operator sign-off on one clear record. It helps the supplier, the South African site team, and the machine operator confirm what arrived, what was fitted, and what still needs attention.
This template captures the handover points that matter when a CNC or laser machine lands at a South African site. Use it to note offloading conditions, crate damage, utility readiness, and the exact machine serial number before installation starts. Space is included for riggers, electricians, and operators to record what they checked on the day.
Add site photos from arrival, positioning, levelling, and first power-on so the record shows the machine condition at each stage. The form also helps track missing items such as chucks, lenses, extraction ducting, spare consumables, and manuals. When a snag appears, write the fault, who saw it, and whether the machine was stopped or allowed to continue to setup.
What the handover sheet covers
The completed note should show delivery date, truck arrival time, offload method, installation status, and operator sign-off in one place. It is useful when the supplier in China, the receiving team in South Africa, and the end user need the same version of events. Keep entries factual so later service work can rely on the document.
Attach the handoff record to the job file and link it with the packing list, test results, and any commissioning notes sent through the contact form. Before the container or air shipment leaves China, make sure the listed accessories on the sheet match what was packed. If the machine is going into an existing workshop, describe the installation bay, power point, and extraction route in the handover note.
- Serial number and model recorded
- Arrival damage noted with photos
- Operator and installer signatures captured
Checks that matter on SA sites
South African installations often need closer attention to access height, forklift capacity, concrete condition, and three-phase supply before the machine can be positioned. A handover sheet should therefore note door widths, final placement, anchor points, and whether transformers, chillers, compressors, or extraction units were present on arrival. This matters just as much in Johannesburg factories as in Durban receiving yards or Cape Town workshops.
Environmental conditions should be written down at handover because they affect setup and early faults. Coastal humidity can affect packed electrical parts, while inland dust can contaminate rails, optics, and cabinets during unpacking. Where load-shedding or generator changeover applies, record whether the first startup and test cut were done on stable mains power.

Handover notes to complete
Use this handover note to record site photos, delivery timing, machine status, and any snags found before install. Keep the subject line plain and accurate.
Finish the template before the install team leaves site, while crate labels, missing items, and machine alarms can still be checked against the delivery. Include any training given, the first sample produced, and the operator name who accepted the machine status on the day. That record becomes the reference point for follow-up parts, service questions, and warranty discussions.
