Shipping Note
A shipping note for machines coming from China to South African sites, focused on crating, customs, delivery access, and handover.
Crate and handover essentials
Shipping Note covers the move from the Chinese supplier to the South African delivery point. It focuses on crating, paperwork, access for offloading, and the site details that matter when a machine is handed over.
A proper Shipping Note records how the machine was packed, where the crate markings appear, and whether lifting points are visible before loading. For South African deliveries, it should also state container type, gross weights, and any limits for forklifts, cranes, or riggers at the receiving site. Those details matter more than general freight updates when a CNC or laser cell reaches the yard.
Include clear photos of the crate base, shock indicators, moisture protection, and the machine tag before dispatch from China. On arrival, note gate width, offloading position, and who signed for the equipment so there is a clean handover record. That paperwork helps when freight damage, missing accessories, or wet packaging needs to be traced back against the shipment file.
What the note must capture
The document should tie the supplier dispatch to the South African delivery point without gaps in names, dates, or package counts. List the machine model, crate dimensions, accessories packed loose, customs papers issued, and any special handling instruction for control cabinets, tubes, lenses, or spindles. Keep the wording exact so warehouse staff, transporters, and site teams are reading the same job.
Before dispatch from China, record the supplier name, crate count, gross weights, and the booked vessel or flight on the Shipping Note. Add packing photos, the bill of lading or air waybill reference, and the offloading method required at the South African site, such as forklift capacity or crane reach. When sending it through the contact form, include the machine model, delivery town, and any damage seen at loading or on arrival.
- Crate size, weight, lifting points
- Loading date and container details
- Damage record with arrival photos
Delivery conditions in South Africa
Many sites in Johannesburg, Durban, and Cape Town have narrow access, shared yards, or fixed receiving hours that affect truck placement and offloading. Older factories may need a smaller forklift, a crane booking, or a temporary lift over a loading dock. Put those constraints into the Shipping Note early so the move from port or depot to site is planned around the building, not guessed on the day.
Coastal deliveries need attention to wrapping, corrosion protection, and any sign of moisture inside the crate after sea freight. Inland sites often raise different concerns such as dust exposure during unloading and power scheduling before first start-up checks. The note should separate freight issues from installation issues so responsibility is clear when the machine is received.

Records to file with dispatch
Send the shipping note with crate photos, loading dates, site timing, and any freight damage or delays already reported. Keep the subject line accurate.
Keep the Shipping Note with the packing list, commercial invoice, bill of lading, and crate photographs for the same machine. If something arrives short, marked, or delayed, that set of records gives the buyer, transporter, and installer one source to work from. It is especially useful where handover moves between the supplier, clearing side, haulier, and factory team.
